1. Basic policy

Topshot Inc. ("we"), the operator of Shinjuku Topshot Hotel, handles personal information appropriately across all our websites and services.

2. Information we collect

• Name, contact information, and inquiry content received through messages or contact forms.
• Guest information provided at booking (name, contact, dates, payment information — payment data is processed by the booking platform).
• Access logs (IP, referrer, browser, pages viewed).
• Cookies (see Section 5).
• What you type into our AI chat, and the conversation log (see Section 6).

3. Purpose of use

• Providing accommodation services (booking, check-in, check-out).
• Responding to inquiries.
• Emergency contact.
• Service improvement and new development.
• Compliance with applicable laws.

4. Provision to third parties

We do not provide personal information to third parties without consent, except (a) where required by law, (b) when necessary to protect life, body, or property and consent is difficult to obtain, or (c) when entrusted to vendors (the reservation system provider (tripla Inc.) and its subcontractors, payment processor, cleaning vendor, etc.) within the scope necessary to perform their services.

5. Analytics / Cookies

This site uses Google Analytics (GA4), a web analytics service provided by Google LLC, to understand site usage, improve our services, and measure advertising effectiveness. Google Analytics uses cookies to collect browsing information (pages viewed, time on site, referral source, approximate region, etc.) in a form that does not identify individuals. The collected information is transmitted to Google and managed under its policies. For details, see "How Google uses information from sites or apps that use our services."

Our Google Analytics property is linked with Google Ads, and the collected information is also used to measure the effectiveness of our advertising (conversion tracking).

You can disable data collection by Google Analytics using the Google Analytics Opt-out Browser Add-on.

To provide the booking search function, this site embeds a program (SDK) provided by tripla Inc., our reservation system provider. In connection with its operation, browsing information and booking-search information may be transmitted to tripla via cookies or similar technologies. For details, see tripla's Privacy Policy.

This site may also use Cloudflare Web Analytics (cookie-free, anonymized aggregation) for site improvement.

In addition, to measure the effectiveness of the advertising we place on ChatGPT (OpenAI), this site and our booking confirmation page carry a measurement tag provided by OpenAI (the OpenAI Ads Measurement Pixel). The tag uses cookies and sends OpenAI an identifier indicating an ad click, the pages viewed, and whether a booking was completed together with its amount. You may configure your browser to refuse cookies (some functions may become unavailable as a result). If we add or change analytics tools or advertising tags, we will update this page.

6. AI chat and transmission to a generative AI service

This site offers an AI chat that answers questions about the property, its facilities, access, and the booking process. The chat is operated by us and is provided to present our own accommodation services.

To generate its replies, the text you enter and the conversation history are transmitted to an external generative AI service, DeepSeek (operated by Hangzhou DeepSeek Artificial Intelligence Co., Ltd.). Its servers are located in the People's Republic of China, and the transmitted content is handled in that country. This may constitute provision of personal information to a third party in a foreign country under Japan's Act on the Protection of Personal Information. For this reason, please do not enter personal information — such as names, phone numbers, email addresses, credit card numbers, or passport numbers — into the AI chat. Before transmission we automatically mask strings identified as email addresses, phone numbers, or credit card numbers, but this process cannot detect every form of personal information.

Conversation logs are stored by us after the masking described above, in order to check response quality and improve the service, and are automatically deleted after 90 days.

The AI chat does not complete bookings. Reservations, and the collection of guest and payment information, take place on the booking screen provided by tripla Inc., our reservation system provider (see Sections 4 and 5).

7. Security

We take appropriate technical and organizational measures to prevent leakage, loss, or damage to personal information.

8. Disclosure, correction, deletion

You may request disclosure, correction, addition, deletion, or suspension of use of your personal information by contacting us via the address below.

9. Changes

We may revise this policy from time to time. Updates will be posted on this page.
